AIAA Aerodynamic Decelerator Systems Technical Committee
Minutes of the 5 June 1997 Mtg.
Holiday Inn, Union Square
San Francisco, CA
The meeting was called to order immediately following the last session of
the 14th ADS Technology Conference and Seminar to summarize the successes and
shortcomings of the conference. The final attendance numbers upon close-
out of the conference were:
128 Conference attendees
55 Seminar attendees
26 Post-Conference Tour participants
It was noted that the Lighter-Than-Air and Balloon attendance far exceeded
their estimates.
A general discussion session was convened to document lessons learned in an
effort to improve the next conference. The items put forth included:
A post-conference tour at the end of the work week tends to lead to low
attendance by people in favor of them returning home.
There were severe problems with the program for the 14th conference including,
a) confusing session numbering between ADS, LTA, and balloon sessions,
b) pages/sessions missing, and c) a format that was difficult to read
(suggest a columnar format for future programs).
This was one of the best conferences in a long while
The sessions were timed well, maintaining a rigid schedule in sessions a big plus.
Problems with the AIAA mailing procedures lead to authors who were not
notified of acceptance and long delays with any type of correspondence to non-U.S. authors.
Good choice for a conference hotel
"Standard" AIAA Registration form was appalling.
Audio/Visual Equipment problems driven by AIAA effort to save money - would
it be possible/beneficial for the TC to buy some of its own equipment?
(computer screen projector and triple standard video player in particular.)
Seminar:
Very Good
Other Topics for future seminars:
Materials
Manufacturing
Testing
Attendance would be better if there were additional mailings for the seminar alone.
Reception:
In general good
Could have used more room and an additional bartender
The idea of an open bar was well received.
Mailing list and industry solicitation process needs improvement
Banquet:
"Good program"
Having the award recipients speak after receiving their awards is a good idea
Good featured speaker
Keep to 2 hours maximum if possible.
Good Session Structure
6 papers per session
Continue with topical arrangement
Co-Chairmen were not notified by AIAA, only Chairmen
Need to continue having Co-Technical Chairmen
Suggest maintaining non-U.S. residing persons as International Chairman
Fax and email information provided by authors on abstract submittal form was
not forwarded to session chairman.
Deadline dates were O.K.
It was good that late papers could be assigned paper numbers out of a
reserved block of numbers.
It would be good to have a list of potential fill-in papers from TC members
for covering late withdrawals.
Require registration in advance if paper is accepted, this would avoid the
aspect of free "advertising" in the bound proceedings by an author, without
paying for the conference.
Continue the policy of no partial/one-day registration fees
The attention was then turned to the location of the next conference. The
possibility of locating in Toulouse France was discussed and people around
the table were polled on how many from their organization had attended the
San Francisco conference versus how many would attend a conference in
Toulouse in 1999. The results follow:
Organization San Francisco Attendees Anticipated Toulouse Attendees
Martin Baker 3
Pioneer Aerospace 4
Universities 5
Irvin Aerospace 6
USBI 3 max
NASA 0
NWC 1
Israel 2
DLR 4
Natick 9
Sandia 3
Aerojet 2
MPG Consulting 1
Lockheed Martin 4
Aerospatiale 8
Total 55
The meeting was adjourned at approximately 6:00 p.m.
Respectfully submitted,
Vance Behr
