School of Engineering Spam Control Plan

 

Overview

  • Engineering Computing Services uses a Barracuda Networks spam filter to put a tag {SoEspam} in the subject of all E-Mails believed to be spam.  This tag allows the clients to use a rule to filter the spam into a spam folder, thus, saving the user time by not having to screen it. The spam filtering can be configured by a rule in an E-Mail client such as Microsoft outlook as well as outlook web access.
  • The spam filter will block emails that were identified by Barracuda networks as known phishing attempts, viruses, or spam E-Mails.. These blocked E-Mails comprise the majority of the E-Mails that the spam filter processes. The large amount of blocked E-Mail is identified in the statistical breakdown of the ECS spam filter performance which was provided by Bob Weiner on 10/11/2006 .

    Spam Filter Mistakes

  • Occasionally the spam filter will make mistakes of two varieties. One mistake known as a false negative is due to the spam filter not tagging a spam E-Mail. ECS recommends to just ignore these E-Mail as much as possible. The Barracuda spam filter is updated daily and it will be just a matter of time before that particular E-Mail message is labeled as spam. If you really want to block the sender from E-Mailing you, you can blacklist the sender on the spam filter, setup a rule in outlook to delete those messages, or even use the Microsoft outlook spam detection.
  • The other case is a false positive and is when the spam filter accidentally marks a legitimate E-Mail as {SoEspam}. In this case, there are many options that involve user input to keep this from happening again. The recommend solution from the barracuda networks spam team is to whitelist the sender on your person spam filter account. Another solution is to use a specific code on the email subject line (restricted to engineering access).
  • Other Recommended Spam filtering Techniques

  • Microsoft Outlook 2003 has a built in spam filter that will catch a large proportion of spam. When used in conjunction with a rule that filters out {SoeSpam}, 99% of all spam email will be removed. You should make sure that Microsoft Outlook has the latest spam filter updates and patches which can be downloaded from Microsoft.
